Your calendar does more than manage time; it shapes your team’s culture. What happens in meetings could be the most expensive ministry mistake you never intended.
Great meetings do more than share information. They help shape culture, build trust, improve alignment, and drive action. Ministry leaders don’t need more meetings; they need better ones. Here are some practical ways to lead meetings that energize your team and move your mission forward.
1. Start
Begin by explaining why the meeting is happening before going over the agenda. A clear purpose helps everyone stay focused and avoid distractions. Start each meeting with a simple sentence: “We’re here today to ___ so that ___.”
Atlassian reports that teams waste an average of 31 hours per month in unproductive meetings when purpose is unclear.
2. Prepare
Preparing for meetings shows respect for your team. When leaders are ready, team members feel valued. Send out materials or key questions 24 to 48 hours before the meeting.

3. Design
Strong leaders spend less time talking and more time listening to others. For each agenda item, prepare an open-ended question to encourage discussion.
4. Protect

If people leave a meeting confused, progress stops. Always finish by making sure everyone knows who is responsible for what and by when.
